Terms of Service & Booking Policies
1. Acceptance of Terms
By making a reservation, submitting payment, or using any transportation service provided by Summit Private Transport, you acknowledge that you have read, understood, and agree to these Terms of Service and Booking Policies. These terms apply to all bookings made directly with Summit Private Transport, whether through our website, by phone, email, social media, or any other approved booking platform.
2. Our Services
Summit Private Transport provides premium private transportation throughout Kelowna, the Okanagan Valley, and surrounding regions. Our services include, but are not limited to:

Bachelor & Bachelorette Transportation

Corporate Transportation

All transportation services are subject to vehicle availability, driver availability, weather conditions, road conditions, and operational requirements.
3. Booking & Payment
A reservation is considered confirmed only after payment or an approved deposit has been received and written confirmation has been issued by Summit Private Transport.
Unless otherwise agreed in writing, full payment is required before the scheduled service begins.
Corporate accounts or approved invoicing arrangements must follow the payment terms outlined on the applicable invoice.
Summit Private Transport reserves the right to refuse, suspend, or cancel any reservation for unpaid balances, declined payments, or suspected fraudulent transactions.
Additional charges incurred during a booking, including but not limited to overtime, waiting time, excessive cleaning, damage, or requested itinerary changes, may be charged to the payment method used for the reservation.
4. Pickup Locations & Service Areas
Summit Private Transport proudly serves Kelowna, West Kelowna, Lake Country, Vernon, Penticton, the South Okanagan, and surrounding communities.
Pickup and drop-off services are available from approved hotels, resorts, private residences, vacation rentals, airports, wineries, golf courses, event venues, and other authorized locations.
Guests should be ready at their designated pickup location at least 10 minutes prior to their scheduled pickup time.
Some rural or remote pickup locations may require advance approval and may be subject to additional travel fees.
Final pickup details may be confirmed by text message, phone, or email before your reservation.
5. Airport Transfers
Guests are responsible for providing accurate flight information when booking airport transportation.
Where possible, Summit Private Transport monitors commercial flight arrivals to help coordinate airport pickups.
Flight delays do not automatically cancel a reservation. We will make reasonable efforts to accommodate revised arrival times based on vehicle availability and scheduling.
Extended delays or additional waiting time may result in additional charges.
If a guest makes alternate transportation arrangements without notifying Summit Private Transport, refunds may not be available.
6. Private Tours & Charters
Private charters are reserved exclusively for the booking party unless otherwise stated.
Custom itineraries, additional stops, extended service hours, or route changes may be accommodated when operationally possible and may result in additional charges.
Although we make every effort to follow planned itineraries, schedules may occasionally require adjustments due to traffic, weather, road conditions, venue availability, construction, or other unforeseen circumstances.
7. Wine Tours
Wine tour packages include the experiences outlined in the selected package description.
Unless specifically stated, premium tastings, reserve wines, food pairings, meals, gratuities, merchandise, and personal winery purchases are not included.
Winery schedules may change due to seasonal operations, special events, capacity limits, or availability. Summit Private Transport reserves the right to substitute comparable wineries when necessary.
8. Meals
Some tours include scheduled meal stops; however, meal costs are not included unless specifically stated in your booking confirmation.
Restaurant selections are based on availability, operating hours, and group size.
Guests are responsible for all food and beverage purchases unless otherwise indicated.
9. Delays & Waiting Time
We understand that travel plans occasionally change. Our drivers will make reasonable efforts to accommodate delays whenever possible.
Extended waiting periods may affect other scheduled reservations.
If additional waiting time is available and approved, it may be billed at the applicable hourly rate.
Waiting time caused by late passengers, delayed flights, venue delays, or itinerary changes requested during the booking may result in additional charges.
10. Cancellation & Refund Policy
Cancellation requests must be submitted directly to Summit Private Transport by email or phone and are effective once confirmed by our team.
Our cancellation policy is as follows:

7+ days before the scheduled booking time: Full refund

2+ days before the scheduled booking time: 50% refund
-
Less than 48 hours before the scheduled booking time: Non-refundable

No-shows: Non-refundable
If a deposit is required at the time of booking, the deposit may be non-refundable where clearly stated during the booking process.
Summit Private Transport reserves the right to cancel, postpone, or modify any reservation due to circumstances beyond our reasonable control, including severe weather, unsafe road conditions, vehicle mechanical issues, wildfires, government restrictions, or other unforeseen events. In these situations, guests may be offered a full refund, a booking credit, or the opportunity to reschedule their transportation, at Summit Private Transport's discretion.
Refunds will be processed using the original payment method. Processing times may vary depending on your financial institution or payment provider.
Refunds will not be issued for unused portions of a booking if transportation is shortened or terminated due to passenger misconduct or a violation of these Terms of Service.

11. Passenger Conduct
Our goal is to provide every guest with a safe, comfortable, and enjoyable transportation experience.
Passengers are expected to treat drivers, vehicles, and fellow passengers with courtesy and respect.
The following behaviour is strictly prohibited:

Illegal drug use

Violent, abusive, or threatening behaviour

Harassment toward the driver or other guests

Excessive intoxication that creates a safety concern

Damage to the vehicle
-
Standing while the vehicle is moving
-
Interfering with the driver
-
Any activity that violates applicable laws
Summit Private Transport reserves the right to immediately terminate transportation without refund if passenger behaviour jeopardizes the safety of the driver, passengers, or the public.
12. Alcohol, Smoking & Vaping
Alcohol consumption must comply with all applicable British Columbia laws.
Smoking, vaping, and cannabis use are strictly prohibited inside Summit Private Transport vehicles.
Guests who violate these policies may have their transportation terminated without refund.
13. Damage & Cleaning Fees
The individual who made the reservation accepts financial responsibility for any damage caused by members of their group.
Charges may apply for:

Excessive interior cleaning

Vomit or bodily fluids
-
Spilled beverages
-
Burns or stains
-
Broken equipment
-
Interior or exterior vehicle damage
-
Missing vehicle equipment
-
Excessive garbage or debris
Cleaning and repair charges will reflect the actual cost incurred and may be charged to the payment method used for the reservation.
14. Child Safety
Children must travel in accordance with British Columbia child restraint laws.
Parents or guardians are responsible for providing and properly installing any required child safety seats or booster seats unless otherwise arranged in advance.
Please notify Summit Private Transport during booking if child seats will be used.
15. Pet Policy
Pets may be permitted with prior approval.
Approved pets must remain appropriately restrained throughout transportation.
Certified service animals are welcome in accordance with applicable legislation.
Guests are responsible for any damage or additional cleaning resulting from transporting animals.
16. Lost Property
Guests are encouraged to check the vehicle before leaving to ensure all personal belongings have been collected.
While Summit Private Transport will make every reasonable effort to assist in recovering forgotten items, we cannot guarantee recovery and accept no responsibility for lost, stolen, or misplaced property.
Recovered items may be returned by pickup, delivery, or shipping. Additional fees may apply.
17. Safety
Passenger safety is our highest priority.
Drivers may refuse any request that violates transportation laws, provincial regulations, safety standards, or company policies.
Seat belts must be worn whenever required by law.
Passengers must remain seated while the vehicle is in motion unless otherwise instructed by the driver.
18. Service Changes
Operational requirements may occasionally require Summit Private Transport to substitute vehicles, modify pickup times, adjust routes, assign a different driver, or alter schedules.
Whenever reasonably possible, guests will be notified of significant changes before their scheduled service.
19. Weather & Unforeseen Events
Transportation services may be affected by circumstances beyond our control, including but not limited to:

Severe weather

Wildfires
-
Highway closures
-
Construction
-
Traffic congestion
-
Mechanical breakdowns
-
Medical emergencies
-
Government restrictions
-
Natural disasters
Although Summit Private Transport will make every reasonable effort to minimize disruptions, arrival times cannot be guaranteed under these circumstances.
20. Limitation of Liability
To the fullest extent permitted by applicable law, Summit Private Transport shall not be liable for any indirect, incidental, special, or consequential damages arising from transportation delays, cancellations, or circumstances beyond our reasonable control.
This includes, but is not limited to:

Missed flights

Missed tee times
-
Missed winery reservations
-
Missed weddings or events
-
Hotel expenses
-
Additional transportation expenses
-
Lost business opportunities
Summit Private Transport's maximum liability for any claim relating directly to transportation services shall not exceed the amount paid for the affected reservation.
21. Right to Refuse Service
Summit Private Transport reserves the right to refuse or discontinue service to any individual or group for safety, legal, operational, or behavioural reasons.
This includes, but is not limited to:

Unsafe behaviour

Illegal activity
-
Excessive intoxication
-
Threatening conduct
-
Refusal to follow driver instructions

Violation of these Terms of Service
22. Privacy
Personal information collected during the booking process is used solely for reservation management, customer communication, payment processing, and providing transportation services.
Summit Private Transport respects your privacy and handles personal information in accordance with applicable Canadian privacy legislation.
Personal information will never be sold to third parties.
23. Changes to These Terms
Summit Private Transport reserves the right to update or modify these Terms of Service and Booking Policies at any time.
The most current version will always be available through our website or booking platform.
Continued use of our services after changes have been published constitutes acceptance of the updated Terms of Service.
